Built behind a real counter

Accounting software for books and stationery shop owners

KitabKhata is billing and accounting software built for book shops and stationery stores — GST invoices in seconds, live stock, udhaar khata, and GST returns your CA can actually use. It runs fully offline, so the counter never stops when the internet does.

✓ Works without internet ✓ GST-ready invoices ✓ Free for one shop

Written by a books & stationery seller, for books & stationery sellers. Not a generic billing app with a bookshop label on it — every screen here came from a real counter, a real season rush and a real GST return.

No credit card. Your data stays on your device unless you switch on cloud sync.

The problem

Why a book shop needs its own accounting software

Generic billing apps assume every shop sells one kind of thing at one GST rate. A books and stationery shop does not — and that is exactly where the mistakes creep in.

🧮

Two GST worlds on one bill

Printed books are nil-rated, and since September 2025 exercise books and notebooks are too — while pens sit at 18%. One customer buys all three in a single bill. KitabKhata keeps the rate and HSN on the item itself, so the totals come out right without anyone deciding at the counter.

📚

Books are not ordinary items

An item master with author, publisher, class and subject means you find "NCERT Science Class 9" the way a parent asks for it — not by scrolling a list of 4,000 SKUs.

📦

Boxes, dozens and loose pieces

You buy a box of 12 and sell single pens. Secondary units convert automatically, so purchase in boxes, sell in pieces, and the stock count still tells you the truth.

📈

A season, not a year

March to July decides the year. Low-stock alerts and fast-moving reports tell you what to reorder before the rush, not after a parent walks out empty-handed.

🤝

Half the counter runs on udhaar

Schools, tuition centres and regulars buy on credit. A proper khata per party with credit days and a one-tap WhatsApp reminder beats a diary that nobody can total.

🔌

The internet is not reliable

A cloud-only app is a closed shutter the moment the line drops. KitabKhata keeps billing offline and syncs later — which is why the whole thing is built local-first.

Features

Everything the shop needs, in one app

Billing, stock, khata, GST and reports — no add-ons to buy, no modules to unlock.

🧾

GST billing & invoicing

Sale, purchase, credit and debit notes with automatic CGST/SGST/IGST from the place of supply. Line discounts, free-quantity columns, round-off and internal notes that never print on the customer's copy.

🔢

Invoice numbering that survives edits

Separate series for each document type. Insert a back-dated bill or delete one and the following invoices renumber themselves — no gaps, no duplicates, and numbers already printed never change.

📦

Stock & item master

Barcode, item code, category, brand, author, publisher, class, HSN, MRP, purchase price, secondary units and low-stock levels. Physical count off? Adjust it on a date, and last month's reports stay untouched.

🤝

Udhaar khata & parties

A running ledger for every customer and supplier, credit days, opening balances and tiered pricing for retailer, wholesale and school rates.

🧮

POS counter billing

A separate fast screen for the rush: tap or scan an item, split payment across cash, card and UPI, show a UPI QR on screen and print. Every POS bill is a normal GST sale invoice underneath.

📋

GST returns & filing lock

GSTR-1, GSTR-3B, GSTR-4 and a purchase register. Export the GSTN offline-tool sheets as Excel or JSON. Mark a period filed and every bill in it locks against edits, so your books and the portal never drift apart.

📊

Reports that answer real questions

Profit and loss with real cost of goods, party-wise outstanding, stock valuation, day book, item movement and GST summaries — for any date range you pick.

📲

Send bills on WhatsApp

Thank-you message, payment receipt and udhaar reminder, pre-written and ready to send. Share the actual PDF, or a link that opens the bill on any phone with nothing installed.

🖨

Print on any printer

Five invoice designs from A4 letterhead to an 80mm or 58mm thermal roll. Switch header, columns, totals and footer on or off and watch the preview change as you do it.

☁️

Multi-device cloud sync

Optional and off until you sign in. Counter, back office and your phone see the same data; go offline and changes queue up, then send themselves when the line returns.

👨‍👩‍👦

Staff roles & many shops

Add staff and pick exactly which screens each person opens. Run more than one shop from a single login and switch between them, each one's data fully separate.

🎙️

AI accountant & audit

Ask for a bill or a report by voice in your own language. Separately, a free offline audit runs 30 arithmetic checks over your books — negative stock, duplicate invoice numbers, cash limits, unfiled periods.

GST

GST billing and returns without the guesswork

Get the rate right at the counter and the return almost writes itself at month end.

  • Right rate, right line. Nil-rated books and notebooks alongside taxable stationery on one invoice, with HSN on every item.
  • Rates change — your bills shouldn't break. Notebooks went nil in September 2025. The rate sits on the item, so you correct it once and every later bill follows.
  • Place of supply handled. Same state or another, CGST/SGST or IGST is chosen for you.
  • GSTN-shaped exports. b2b, b2cl, b2cs, cdnr, cdnur, exemp, hsn and docs sheets in one Excel file.
  • Composition dealers too. GSTR-4 figures and the turnover ceilings watched for you.
  • Filed means filed. Lock a period and nothing in it can be edited, deleted or renumbered.

These are working papers to hand your CA — always have your accountant confirm before you file.

The counter never stops

KitabKhata is not a website that needs a connection to work. Every bill, every stock movement and every khata entry is written to your own device first.

  • Bill, print and take payment with the line completely dead.
  • Nothing queues up and gets lost — changes send themselves when the connection returns.
  • A visible 🌐 mark sits on the few features that genuinely need internet, so nothing surprises you mid-sale.
  • Your data is yours. Export the whole shop to a file any time; sync is optional and off until you sign in.

Billing in three steps

No installation needed to try it — the app opens in your browser.

Set up your shop

Shop name, address, GSTIN and state. Upload a logo and it prints on top of every invoice.

Add items and parties

Type them in, or paste an existing list and map the columns. Barcodes and item codes work from day one.

Billing & inventory

Billing software and inventory management for a bookstore counter

Most shops start looking for billing software and end up needing accounting software for their books and stationery shop — because the bill, the stock and the khata are the same problem.

Billing software that keeps up with the counter

A GST invoice in a few taps: pick the item, the rate and HSN come with it, CGST/SGST or IGST is decided by the place of supply, and the bill prints or goes out as a PDF on WhatsApp. The same billing software handles quotations, sale orders, credit notes and debit notes, so a school supply order and a walk-in sale live in one system instead of two.

Inventory management for textbooks, notebooks and refills

Inventory for a book and stationery shop is awkward — you buy notebooks by the box and sell them by the piece, stock the same textbook for three classes, and carry pens whose refills are separate items. Item master fields for author, publisher, class, brand, category and secondary units cover that, and low-stock levels tell you what to reorder before a parent asks for it.

Scan the ISBN straight off the back of the book

The ISBN printed on a book is an ordinary EAN barcode, so a USB scanner on the counter PC — or the camera in the Android app — reads it into the item's barcode field and pulls the title up at billing time. Stationery with a printed barcode works the same way; anything without one is found by item code or name.

Your shop's language, not an accountant's

The whole app reads in plain Hinglish, and the AI accountant answers in Hindi, English, Bengali, Marathi, Telugu, Tamil, Gujarati and more — spoken or typed. Ask it what today's sale was or who owes you money and it reads the answer out of your own books.

FAQ

Frequently asked questions

What is the best accounting software for a books and stationery shop?

The one that understands your GST mix. A books and stationery shop bills nil-rated books and notebooks alongside taxable pens and accessories on the same invoice, buys in boxes and sells in pieces, and runs half its regulars on udhaar. KitabKhata is built around exactly that, and it keeps billing when the internet is down — which a browser-only accounting tool cannot.

Is KitabKhata billing software or full accounting software?

Both, and that is the point. It starts as billing software — a GST invoice across the counter — but the same bill updates stock, moves the party's udhaar khata, feeds the P&L and lands in your GSTR-1. Shops that buy only billing software end up keeping the khata in a register anyway.

Can it handle inventory for a bookstore with thousands of titles?

Yes. Items carry author, publisher, class, category, brand and barcode, so a title is found by any of them, and the ISBN on the back of the book scans straight in. Buy in boxes and sell in pieces with secondary units, and set a low-stock level per item so reordering is a report rather than a memory test.

Does it work as POS billing software for a stationery shop?

There is a separate POS screen for the rush — scan or tap, split the payment across cash, card and UPI, show a UPI QR and print. Every POS bill is a normal GST sale invoice underneath, so the counter and the books never disagree.

Does it really work without an internet connection?

Yes. Billing, printing, stock, khata, reports, GST returns and PDF export all run on your own device with no connection at all. Internet is needed only to sign in the first time, to sync across devices, to send a bill on WhatsApp and to use the AI accountant — and each of those carries a visible 🌐 mark inside the app.

Can I file GST returns from KitabKhata?

You can produce everything you need to file. GSTR-1, GSTR-3B, GSTR-4 and a purchase register are generated from your bills, and exported as GSTN offline-tool Excel sheets, JSON or readable CSV. You upload them on the GST portal yourself. Treat them as working papers and have your CA confirm before filing.

How much does it cost?

Free for one shop, forever — one company on two devices, unlimited bills, all the GST returns, the offline audit, cloud backup so a dead computer costs you nothing, and sending bills and receipts on WhatsApp. No card, no trial clock, and nothing that stops working later.

KitabKhata Plus is ₹299 a month, or ₹2,999 a year. It adds a second company, sync across up to three devices, staff logins, the AI accountant and udhaar reminders. If you stop paying, nothing is deleted — your books stay yours and the free plan keeps running.

How many shops or companies can I run from one login?

One on the free plan, two on Plus. Each company is a completely separate set of books — its own items, parties, bills, stock and GST returns — and switching between them takes a tap, with no chance of one shop's numbers leaking into the other's returns.

Two covers most people who need more than one: a shop plus a distribution firm, two branches under different GSTINs, or the old firm you still file for. Need more than two? Write to us and we will work something out.

Is my shop data safe, and who can see it?

Your data lives on your own device by default and nothing leaves it until you switch on cloud sync. If you do, each shop is isolated at the database level, so no other account can read your books. You can export a full backup to a file whenever you like, and take it with you.

Can my staff use it without seeing everything?

Yes. Add staff to your shop and tick exactly which screens each person can open — a counter cashier can bill without reaching purchase prices or profit reports. Note that this keeps staff out of screens rather than acting as a hard security wall, so add people you trust.

Will it run on my old shop computer?

Almost certainly. The browser version needs nothing but a reasonably current Chrome or Edge. The Windows app runs on 64-bit Windows 10 and 11. There is no server to set up and no database to install.

Can I send bills to customers on WhatsApp?

Yes — a thank-you message with the bill summary, a payment receipt, or an udhaar reminder, each pre-written so you only press send. You can share the real PDF, or a link that opens the bill on any phone without the customer installing anything.
