The short version. Your books live on your own device. Nothing leaves it until you switch on cloud sync. If you do, your data goes to our database so your other devices can read it — and nobody else's account can, because the database itself blocks it. We do not sell your data, we do not advertise, and there are no third-party trackers or analytics in the app.
1. Who we are
KitabKhata is billing and accounting software for books and stationery shops, published by Curated Tools AI. For anything in this policy, write to curatedtoolsai@gmail.com.
2. What stays on your device
By default everything does. Invoices, customers and suppliers, items and stock, payments, expenses, udhaar khata, GST returns and your shop profile are all stored in the app's own storage on the phone or computer you are using. In this state we cannot see any of it — it never reaches us.
3. What we collect, and only then
If you create an account
Your email address and a securely hashed password, handled by our authentication provider. This is what makes it possible to open the same shop on more than one device.
If you switch on cloud sync
A copy of your shop's records — the same items, parties, transactions and settings listed above — is stored in our database so your devices stay in step. We also record which devices are signed in to a company, with a device label such as "Android · Chrome" and the time it last synced, so you can sign an old device out.
If you use the AI accountant
Your question, and the parts of your own books needed to answer it, are sent to our server and on to the AI provider that generates the reply. This happens only when you ask it something. The offline audit does not send anything anywhere.
If you send feedback
Your message, your account email, your shop name, the app version, your device type and how many records your books contain — which is shown to you on the form before you send it. The records themselves are not included, only the count.
If you buy KitabKhata Plus
Payments are processed by Razorpay. Card and banking details go to Razorpay and are never seen or stored by us. We receive confirmation of the payment along with the email address and phone number you gave at checkout, which is how the payment is matched to your account.
4. What we never collect
- Contacts, photos, files, location or SMS
- Card numbers, UPI PINs or bank credentials
- Advertising identifiers — there is no advertising in KitabKhata
- Third-party analytics or tracking of any kind

We do not sell your data or share it with anyone else. Some of these providers store data on servers outside India.
6. Who can see your books
Each company's data is isolated at the database level by row-level security, so no other account can read it — that is enforced by the database, not by the app. People you add to your own team can read that company's data; the screen-by-screen permissions you set control what the app shows them, not what the database would allow, so add only people you trust.
7. How long we keep it
For as long as your account exists. Ask us to delete your account and we remove your records and your login. Data on your own device stays there until you clear it or uninstall the app.
8. Your choices
- Do not sync. The app works fully offline; nothing has to leave your device, ever.
- Export everything. Settings → Backup writes your whole shop to a file you keep.
- Sign out a device. Settings → Cloud Sync → Devices removes any device's access.
- Delete your account. Email us and we will delete it and the data behind it.
9. Children
KitabKhata is business software and is not intended for anyone under 18.
10. Changes
If this policy changes we update the date at the top. Material changes will be announced in the app rather than made quietly.
